This Privacy Policy explains how Evan Clementino, operating as Mobilize Construction Systems ("Mobilize," "we," "us," or "our") collects, uses, stores, and protects information in connection with our bookkeeping, accounting, and systems-implementation services, including our software integration with Intuit QuickBooks Online. By engaging our services or authorizing us to connect to your QuickBooks Online company, you agree to the practices described here.
1. Who We Are
Mobilize Construction Systems is a bookkeeping and accounting-systems consultancy based in Kingston, Ontario, Canada, serving construction-industry clients across Canada. Mobilize is operated as a sole proprietorship by Evan Clementino.

2. Scope of This Policy
Our QuickBooks Online integration is an internal tool used by Mobilize to service our own bookkeeping and accounting clients. It is not offered to the public as a standalone product. We connect to a client's QuickBooks Online company only after the client has authorized that connection through Intuit's official authorization (OAuth) process.
3. Information We Access and Collect
Information you provide
When you engage us, we collect business and contact information you provide directly, such as your name, business name, email address, phone number, and details about your business needed to deliver our services.
QuickBooks Online / Intuit data
When you authorize the connection, our integration accesses accounting data within your QuickBooks Online company through Intuit's official API. Depending on the services engaged, this may include:
- Chart of accounts, account names, and account balances
- Invoices, estimates, bills, and payment records
- Customer and vendor (supplier) records
- Transaction and general-ledger data
- Company profile and tax-configuration information
We access only the data reasonably necessary to perform the services you have engaged us to provide.
Authorization credentials
The connection uses secure access tokens issued by Intuit. We never receive, see, or store your Intuit or QuickBooks username or password. Authentication is handled entirely by Intuit.
4. How We Use Information
We use the information described above solely to:
- Deliver the bookkeeping, accounting, and systems-implementation services you have engaged us for;
- Configure, maintain, and reconcile your accounting records and QuickBooks Online setup;
- Prepare reports, filings, and financial information on your behalf;
- Communicate with you about your engagement; and
- Meet our legal, tax, and professional record-keeping obligations.
We do not use your data for advertising, and we do not sell, rent, or trade your data to any third party.
5. How We Share Information
We do not sell your information. We share it only in these limited circumstances:
- Intuit: Data is exchanged with Intuit as necessary to operate the QuickBooks Online connection. Intuit's handling of that data is governed by Intuit's own privacy policy.
- Service providers: Trusted providers who help us operate (for example, secure cloud storage or email), bound by confidentiality and permitted to use the data only to provide services to us.
- Your authorized representatives: Where you direct us to share information with your accountant, tax preparer, or other advisors.
- Legal requirements: Where required by law, regulation, or valid legal process.
6. Data Storage and Security
We take reasonable and appropriate measures to protect the information we handle, including:
- Encrypted transmission of data to and from Intuit (TLS/HTTPS);
- Secure storage of access tokens, restricted to authorized use;
- Access limited to Mobilize personnel who need it to deliver services;
- Use of reputable, security-conscious service providers for storage and processing.
No method of transmission or storage is perfectly secure, but we work to protect your information using safeguards appropriate to its sensitivity.
7. Data Retention
We retain your information only as long as necessary to provide our services and to meet legal, tax, and professional record-keeping requirements. When you disconnect the QuickBooks Online integration or end your engagement, we stop accessing your QuickBooks Online data and revoke or delete stored access tokens. Records we are required to retain for legal or professional reasons are kept securely for the required period and then deleted.
8. Your Rights and Choices
- Disconnect at any time: You can revoke our access to your QuickBooks Online company at any time from within your Intuit account settings.
- Access and correction: You may request a copy of the personal information we hold about you and ask us to correct inaccuracies.
- Deletion: You may request deletion of your data, subject to records we are legally required to retain.

9. Canadian Privacy Law
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
